For Everyone: The Basics

Smith College expects all students to be honest and committed to the principles of academic and intellectual integrity in their preparation and submission of coursework and examinations. All submitted work of any kind must be the original work of the student who must cite all the sources used in its preparation.

  • The exam periods are Friday 3-9pm, Saturday and Sunday 12-6pm. See above for dates.
     
  • Exams are distributed from and returned to McConnell Foyer. Available space for students to take exams is posted at the top of this page and at the pickup point. Available rooms are posted with signs at the entrance.
  • Instructors add their name, course info and exam dates to our spreadsheet for planning purposes so we can make sure adequate space is reserved and exam distribution is appropriately staffed.
  • Instructors print, proof, and prepare exams for distribution before the exam period begins each Friday.
  • Instructors drop off exams that are ready for distribution to one of the secure locations below before the exam period begins, along with a class roster and extra copies of the exam.
  • Exam monitors (student workers) set up for distribution of exams, and mark collection boxes for each class in McConnell foyer. 
  • Exam monitors check each student’s name against the class roster before giving a copy of the exam to the student.
  • During the exam periods, students pick up a copy of the exam and return completed exams to McConnell Foyer.
  • Students will have instructions from their instructor on how long they may have to take the exam.
  • Students taking an exam use the time and date stamp located on the exam return box when they pick up and return their exam. Pick-up and return date and times are physically stamped on the exam.
  • Extra space in Bass/Burton/Sabin Reed will be reserved during high-volume exam periods. Additional rooms will be posted on this webpage and at the pickup point.
  • Instructors will pick up exams from a secure dropbox in the McConnell foyer after the exam period is concluded. Student exam monitors do not have access to the combination of the drop boxes for completed exams.
  • This process is completely separate from the Registrar’s process for self-scheduled FINAL exams

For Instructors: The Details

When and where

  • The exam periods are Friday 3-9pm, Saturday and Sunday 12-6pm. See above for dates.
  • Exams are distributed from and returned to McConnell Foyer Friday 3:00-9:00 pm, Saturday and Sunday 12:00-6:00 pm.
  • Exams must be complete by the end of the exam period (9 pm on Fridays, 6 pm on Saturday or Sunday) unless an instructor has approved additional time for an individual student or class.
  • Available space for students to take exams is posted at the top of this page and at the pickup point. Available rooms are posted with signs at the entrance.
  • Additional rooms are reserved for students who require the accommodation of taking the exam in a room alone, without distraction. Students needing this accommodation book the space on their own using this scheduling system (Smith login required). These rooms are only to be used by students needing this accommodation.
  • Additional rooms will be reserved during exam periods with a high volume of exams/students. Additional rooms will be posted on this webpage and at the pickup point.
  • There will be no onsite support from regular administrative staff during the Friday-Sunday exam period. What this means is there is no remedy or backup support if
        • the student exam monitors cannot or do not show up for their shift
        • there is a problem with the room reservation  system for students needing private rooms
        • we run out of rooms during a given exam period
        • something else happens that is not within the scope of what the student exam monitors can help with.
  • Instructors should indicate on the exam the amount of time students are allotted to take the exam.

 

Preparation for exam distribution

  • Instructors note exam times for the semester on the Self Scheduled Exam google sheet to assist with planning.
  • Instructors print, proof, and prepare exams for distribution before the exam period begins each Friday at 3:00 pm. This includes collating, stapling, etc.
  • Exams must
    • be labeled with course name, number, and section
    • include space for student name and date/time stamp
    • indicate how long the student has to take the exam (with exceptions for accommodations)
  • Honor code language on the first page of the exam is encouraged.
  • Instructors must provide a printed class roster for all students taking the exam when they drop off their exams.
  • Instructors must provide the best way for students or exam monitors to contact the instructor during the exam period in case there is an issue.
  • Instructors are encouraged to remind students of the honor code in class before the exam.
  • A few extra copies of the exam are encouraged, just in case. Any untaken exams will be returned to the secure drop box along with completed exams.

 

 Exam distribution and completion

  • Instructors drop off exams that are ready for distribution before the exam period begins to staff in Burton 115 (M-F 8:30 am-4:00 pm), along with a class roster (student name and a place for a signature) and their contact information during the exam period. They may also bring exams that are ready for distribution, to the McConnell Foyer starting at 2:45 pm on Friday, when set up begins for the exam period.
  • Exam monitors (student workers):
    • set up for distribution of exams, and mark collection boxes for each class in McConnell foyer
    • check each student’s name against the class roster before giving a copy of the exam to the student
    • direct students to time stamp exams upon distribution and return
    • advise students of available rooms during exam periods
    • secure untaken exams and rosters in McConnell 101 (kitchenette) at the end of the exam periods on Friday and Saturday
    • return untaken exams and/or roster to the appropriate completed exam drop box at the end of the exam period Sunday
    • do not track the times of students taking exams
    • do not manage space requests
    • do not resolve issues with exams but will direct students to contact their instructor, as per information provided by the instructor
    • do not have access to the completed exams dropbox.
  • Instructors pick up complete exams from the completed exam drop boxes in McConnell Foyer. Drop boxes are labeled according to class. Email cscexams@smith.edu for the combination to the lock. Student exam monitors do not have access to the completed exams dropbox.

  • Exams must be complete by the end of the exam period (9 pm on Fridays, 6 pm on Saturday or Sunday) unless an instructor has approved additional time for an individual student or class.
  • Exams are distributed from and returned to McConnell Foyer. Available space for students to take exams is posted at the top of this page and at the pickup point.
  • All rooms reserved for exams are posted with signs at the entrance to each room.
  • STUDENTS MAY NOT TAKE EXAMS IN ANY HALLWAYS OR STAIRWELLS
  • For Smith students needing a private room, they are reservable here or scan the code below.
  • Five College students, please email cscexams@smith.edu to request accommodation space as described above. Please include the date and times you need and the course that is giving the exam.
  • Students pick up a copy of the exam, during one of the exam periods. Each student immediately dates and times stamps their copy of the exam.
  • Students will have instructions from their instructor on how long they may have to take the exam.
  • Upon completion of the exam, the student immediately returns to McConnell foyer, dates and times stamps their copy of the exam, and drops it in the dropbox labeled for their class.
  • Exams must be completed and turned in by the end of the day’s exam period, 9 pm on Fridays, 6 pm on Saturday and Sunday, unless an instructor has approved additional time for an individual student or class.
